What this notice covers
This notice describes how DwellPort ("we", "us") processes personal data when you use DwellPort Cloud, our resident app, or visit our website. Property managers ("you") are the data controller for their residents and applicants; DwellPort is the data processor.
What we process
- Account data: name, email, company, billing details.
- Tenant / resident PII: name, contact, identification, household composition, vehicles, lease terms, payment history.
- Owner data: name, contact, banking (tokenized), tax ID.
- ALPR data: license plate text, plate image, timestamp, gate location, match confidence, host resident (where applicable).
- Telemetry: error reports (PII-scrubbed), aggregate usage metrics.
ALPR retention
License-plate data is retained for 60 days by default, configurable per property by the property manager, and capped per state law where state law applies. Specifically:
- California (CA): not regulated for private-property ALPR, but DwellPort caps at 90 days by default for CA properties.
- New Hampshire (NH): 3-minute retention cap on non-match plates.
- Maine (ME): 21 days for stored data.
- Vermont (VT): 18 months maximum for any retained plate data.
- Other states: 60 days default, configurable.
We do not perform facial recognition. We process license plates only.
Lawful basis
- Contract: processing required to provide the property-management service.
- Legal obligation: retention of payment records and tax forms.
- Legitimate interest: security, anti-abuse, ALPR for property access control (with resident notice).
- Consent: marketing email — opt-in only.
Sharing
We share data only with the sub-processors listed on our trust center. We do not sell, rent, or trade personal data.
Retention
Account data is retained while your account is active and for 12 months after closure. Payment records and tax data are retained for 7 years to comply with US tax law. ALPR data follows the rules above. Telemetry is retained 90 days.
Your rights
Residents and applicants have the right to access, rectify, erase, restrict, and port their personal data, and to object to processing. Residents should contact their property manager first; the property manager will route to us if needed. For direct contact with DwellPort: privacy@dwellport.com.
